About Union Aid
Union Aid is a non-governmental organisation, registered under Societies Act 1860 in 2012. Union Aid was established by Dr. Toryalay Nassery and initiated its activities in health sector after its establishment in 1979 that formally commenced from 1980 with the prior permission from Ministry of SAFRON, Government of Pakistan. Union Aid is actively providing health care services, education, scholarships, vocational training and family support programs.
Job Description:
Recruitment & Onboarding
- Assist in posting job announcements, collecting CVs, and preparing long/shortlists.
- Coordinate and schedule written tests and interviews.
- Support the HR Officer in conducting reference checks and preparing employment contracts.
- Assist in the orientation process for new staff and ensure all onboarding documents are completed.
Personnel File & Documentation
- Maintain accurate and updated personnel files according to the HR personnel file checklist.
- Ensure all documents (contracts, extensions, leave forms, performance evaluations, ID cards, etc.) are filed properly and are easily accessible.
- Update the HR database and employee lists regularly.
Attendance, Leave & Payroll Support
- Collect daily and monthly attendance sheets from all departments/field sites.
- Maintain the soft leave record and ensure all leave requests are documented and updated.
- Support the HR Officer in preparing monthly attendance reports for review and approval.
- Assist in preparing monthly payroll documents and verifying supporting documents.
HR Compliance & Employee Relations
- Ensure HR procedures are implemented according to Union Aid HR policies.
- Support HR Officer in preparing documentation for disciplinary meetings, investigations, and terminations.
- Maintain confidentiality and secure management of sensitive employee information.
- Assist in preparing reports, memos, letters, and any HR-related communication.
Travel & Mission Documentation
- Collect, record, and maintain updated travel and mission reports for staff.
- Ensure all travel documents are accurately filed and available when required.
General HR Support
- Assist in organizing HR trainings, orientations, and staff capacity-building programs.
- Support day-to-day HR office tasks and ensure smooth administrative operations.
- Perform any other duties assigned by the HR Officer or line manager.
Job Requirements:
- Bachelor’s degree in Business Administration, Human Resources, or a related field.
- Minimum 1–2 years of relevant HR experience preferably with local or international NGOs.
- Good understanding of HR policies, Afghan labor laws, and recruitment procedures.
- Strong communication skills in English and local languages (Dari/Pashto).
- Proficiency in MS Office (Word, Excel, Outlook).
- Strong organizational skills and attention to detail.
- Ability to maintain confidentiality and professionalism at all times.
- Willingness to take initiative, support team members, and work under pressure.
