Job Description:

The HR Assistant is responsible is to fulfill the recruitment process, maintain personnel file, preparation on monthly payroll, provide guidance and making sure the organization complies with labor laws and enforcing organization policies and practices.

Responsibilities:

  • Align all activities of HR in accordance to applicable HR policies of Union Aid,
  • Assist in managing the recruitment, interviewing and hiring of qualified job applicants, collaborates with management, 
  • Assist in constructive and timely performance evaluations within the probationary period and at the end of the year, 
  • Assist in handling discipline and termination of employees in accordance with Union Aid policy,
  • Assist in to ensure the organizations human resource policies to be practiced on recruiting, retention, and planning, 
  • Assist in providing support and guidance of HR to the management and other staff, providing investigating report as a proof in case of terminations, 
  • Assist in overseeing employee disciplinary meetings, terminations, and investigations, 
  • Assist in maintaining compliance with government policies & employment laws and regulations to ensure Union Aid practices aligned with Government policies,
  • Assist in maintaining management guidelines by preparing, updating, and recommending human resource policies and procedures, 
  • Assist in identifying and recommend areas of improvement to internal standard operating procedures, including team restructuring and morale, 
  • To maintain staff personnel files according to personnel file checklist for all running projects,
  • To prepare monthly attendance report and share with line manager for review and approval,
  • Assist in preparation of monthly payroll and share with line manager for review and approval,
  • Assist in maintaining soft leave record updated and leave requests in update file,
  • Assist in maintaining travel and mission report in update file,
  • To perform any other tasks assigned by line manager.
 

Job Requirements:

  • Bachelor’s degree in business administration, specialization in human resource
  • Minimum 2 years of relevant experience with local NGOs or International NGOs,
  • Excellent verbal and written communication skills in English and local languages,
  • Ability to establish and nurture beneficial organizational relationships,
  • Self-motivated with a willingness to take initiative and solve complex problems,
  • Capability to negotiate with and influence others.
